information for vendors
Our goal is to curate a diverse, high-quality shopping experience that truly showcases the best of the Whitsundays for our cruise ship visitors.
Review Timeline: We aim to review all submissions quickly, and you can generally expect an email notification regarding the outcome within two (2) business days of application.
Acceptance & Trading Dates: If your application is successful, you’ll be invited to provide your anticipated trading dates. We’ll do our best to accommodate your requested schedule wherever possible!
A Note on Curation: To maintain variety and quality, applications may occasionally be declined. This typically happens if the product, service, or proposed stall presentation doesn’t align with our market’s high standards, or if we currently have limited availability in your specific category.
Public Liability Insurance is mandatory. All applicants must hold a current policy with a minimum of $20 million cover, valid Australia-wide. You will be required to provide proof of this coverage.
Market Management actively works to curate a diverse and unique market experience for our customers.
Please be aware that site availability can fluctuate due to high demand or an oversupply of vendors in a specific product category.
We offer the following standard site dimensions:
Stallholders are responsible for providing all their own equipment, including gazebos, tables, and display fixtures.
Any costs incurred from damage to market equipment, landscaping, or public infrastructure will be charged to the person(s) responsible for the damage.
Our events are advertised to the public as all-weather markets and will operate rain, hail or shine.
We will only cease trading if Market Management deems conditions to be genuinely unsafe.
It is your responsibility to plan for all weather conditions (wind, rain, heat, and cold) and ensure you have the necessary equipment (side walls, awnings, weights, etc.) to protect your product and site.
In the event of significant wet weather, where stallholders set up but are unable to trade and pack down by 10:00am due to unsafe or unsuitable conditions, stallholder fees will not apply.
If a stallholder chooses to remain trading beyond 10:00am, standard market fees will apply.
Similarly, if a market proceeds but experiences no visitor attendance as a direct result of weather conditions, stallholder fees will be waived
Please Note: Market Management is not liable for loss or damage to your stock or equipment caused by weather or other conditions.
Stall fees are due on market day and can be paid either by cash or EFTPOS.
Stallholders are required to remove all rubbish from their site. Do not use the fixed public bins on the foreshore.
Sandbags: Please take sandbags with you after the Market and do not place them in public bins. This helps us keep the area tidy and ready for future events.
Loading zones are for drop-off and pick-up only.
Vehicles must be moved before transferring your items to your site and setting up your stall.
Use hazard lights when loading or unloading on the curb to ensure visibility and safety.
Pack down begins at 1:00pm.
For everyone’s safety, please fully pack down your stall – including marquees – and bring all items to the loading zone before retrieving your vehicle for loading.
Use your hazard lights when driving on Market grounds to ensure visibility and care around pedestrians.
Decisions to cancel the market (due to severe weather, high winds, cyclone warnings) are made by Market Management.
Stallholders will be notified by 6:00pm the night before or 6:30am on the day if conditions change.
If cancelled, stall fees will be refunded or credited.

To ensure compliance with Whitsunday Regional Council regulations, some stallholders may require a food licence to trade.
The type of licence depends on what food you are preparing and selling.
If you are unsure whether you need a licence, please email Council with details of the food you plan to prepare and sell: info@whitsundayrc.qld.gov.au
